For this Privacy Policy, Solaro Technologies LLC, doing business as Solaro CRM (‘Solaro CRM,’ ‘we,’ ‘us,’ or ‘our’). The provider collects, uses, stores, protects, and shares information as described below.
Information We Collect
- Account information such as name, email address, authentication details, and organization membership.
- Profile information such as role, team settings, preferences, and contact details you choose to provide.
- Project and CRM data including leads, contacts, activities, notes, campaigns, tasks, appointments, and pipeline information.
- Uploaded documents and images, including business cards, project files, bills, photos, and related metadata.
- AI prompts and responses submitted through Solaro AI-powered features, including enrichment, drafting, analysis, and workflow assistance.
- Device and browser information such as browser type, operating system, device type, IP-derived region, and session information.
- Analytics and diagnostic data such as feature usage, error reports, performance data, and audit logs used for security, reliability, and product improvement.
How We Use Information
- Provide, secure, operate, and improve the Solaro CRM application.
- Authenticate users and maintain user sessions.
- Support CRM workflows, lead management, scheduling, communications, and team collaboration.
- Generate AI-assisted responses, summaries, recommendations, research, and drafts requested by users.
- Monitor performance, investigate errors, prevent abuse, and protect user and organization data.
- Communicate service updates, support messages, billing notices, and security alerts.
AI Processing Disclosure and Consent
Solaro CRM includes optional AI-powered features, including the Customer AI Assistant, lead and company research, drafting, summarization, image and document extraction, audio transcription, and workflow assistance. Before a signed-in user submits content to these features, Solaro CRM asks for explicit AI processing permission. Solaro CRM uses AI services to power features like research, drafting, and document or image analysis. Only the information needed for the AI feature you use is sent for processing. Solaro Technologies LLC, doing business as Solaro CRM transmits only the minimum information reasonably necessary for the requested extraction, transcription, research, drafting, summarization, classification, or workflow assistance. Users can review or revoke permission in Settings → Data & Privacy. If permission is declined or revoked, non-AI CRM features remain available, and the next AI request is blocked until permission is granted again. Depending on the selected feature, submitted content may include AI prompts, business and company names, addresses, websites, CRM lead, contact, and note information, email or campaign drafts, uploaded business cards, signboards, property images, documents, attachments, voice recordings, speech transcripts, and generated outputs. Users should submit only information they are authorized to process and should review AI-generated content before relying on it for business, legal, financial, or customer-facing decisions.
Data Storage and Security
Solaro Technologies LLC, doing business as Solaro CRM uses technical and organizational safeguards designed to protect data, including encrypted transport, access controls, organization-based data separation, session controls, logging, and administrative safeguards. No method of transmission or storage is completely secure, but Solaro CRM works to protect information against unauthorized access, loss, misuse, and alteration.
Third-Party Services
Solaro Technologies LLC, doing business as Solaro CRM may engage third-party service providers to operate, support, secure, analyze, or provide features within Solaro CRM, including authentication providers, Google Gmail, Google Calendar, payment processors, email providers, storage providers, analytics services, and AI providers. These services process data as needed to provide the features users enable, connect, or request. Solaro CRM’s use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements.
Cookies and Tracking Technologies
Solaro CRM uses cookies and similar technologies for authentication, session management, security, preferences, analytics, diagnostics, and application performance. Essential cookies are required for the service to function.
User Rights
Depending on your location, you may have rights to access, correct, export, restrict, object to, or request deletion of certain personal information. Signed-in users can initiate account deletion in Settings → Data & Privacy → Delete Account. Deletion requests receive a reference number and are processed through Solaro CRM’s account-deletion lifecycle. Organization-owned business records may be retained or reassigned when another authorized organization administrator legitimately controls them, while unnecessary personal identifiers are minimized where appropriate.
Data Retention
Solaro CRM retains information for as long as needed to provide the service, comply with legal obligations, resolve disputes, maintain security, preserve audit logs, and enforce agreements. When an account deletion request is completed, Solaro CRM deletes, anonymizes, detaches, or retains each data class according to its purpose: personal profile and identity fields are anonymized, active session records are deactivated, user-owned audio notes may be deleted, organization-owned CRM records may be retained and detached from the departing user, and security, billing, support, audit, and deletion-request records may be retained in minimized form for legal or security purposes.
Children's Privacy
Solaro CRM is not intended for children under 13, and we do not knowingly collect personal information from children. If we learn that a child has provided personal information, we will take appropriate steps to delete it.
International Users
If you access Solaro CRM from outside the United States, your information may be processed in the United States or other countries where Solaro CRM, its infrastructure providers, or service providers operate.
Changes to this Policy
Solaro CRM may update this Privacy Policy from time to time. Material changes will be communicated through the application or other appropriate means. Continued use of Solaro CRM after an update means you accept the revised policy.
